Med spa software comparison

Best Med Spa Software: 13 Options Compared

Med spa software should connect the work your practice actually does: booking, clinical records, treatment photos, inventory, payments and follow-up. This comparison covers 13 options for US practices, from medical practice suites to membership platforms. Start with the workflow you need to replace, then compare the complete cost of running it.

How we compared the products

Build your shortlist

For clinical records and treatment workflows, start with Pabau, Aesthetic Record, AestheticsPro, PatientNow, Zenoti, Podium Aesthetics or Jane. For booking and daily operations, compare Boulevard, Mangomint, Vagaro and Mindbody, while checking their clinical fit. Phorest brings operations and patient marketing together; RepeatMD focuses on membership sales and patient commerce. These groups describe the comparison angle, not hard limits on each product.

Choose the workflow before choosing the platform

A solo injector, a medspa with several treatment rooms and a group operating across locations need different things from the same feature label. Build your shortlist around the handoff that currently breaks: information entering the chart, stock leaving a cabinet, a package being redeemed, or an inquiry becoming an appointment. Then make each vendor demonstrate that handoff.

Your priorityStart by comparingShow this in the demo

Memberships and return visitsRepeatMD, Phorest, PatientNowA failed renewal, a paused membership and a partially used package.
Inquiry handling and bookingPodium Aesthetics, Mindbody, PhorestA new inquiry, follow-up, appointment and attributed payment.

These are starting points rather than winners. Several products span multiple rows. A feature appearing on a product page does not establish which plan includes it, how much setup it needs, or whether it fits your treatment protocols.

Compare the complete first-year cost

Ask for the subscription, setup, migration, payment processing, messaging, storage, hardware and optional modules in one written proposal. Count the people who need logins as well as the practitioners who need calendars. Include a second location if expansion is already planned, and ask what changes when an introductory offer expires.

Keep subscription cost separate from transaction fees. A low monthly price can still involve an onboarding charge or paid clinical modules. Conversely, an unlimited-user plan may suit a larger team even when its headline price looks higher. The figures below are published starting points, not complete medspa budgets.

Medical records and practice suites

Pabau

Compare it for: practices connecting treatment documentation, stock and commercial follow-up.

Pabau combines a patient record with injection plotting, before-and-after photos, consent forms and appointment management. Its medspa page describes stock usage recorded by treatment, reorder alerts and coordination across clinicians, rooms and locations. That makes it worth evaluating when the same treatment has to update both the clinical record and the stock count.

The core plan includes lead management, memberships and marketing tools. Optional Plus modules extend the platform. Compare the exact automation you need against the core subscription rather than assuming every demonstration feature is included.

Check before choosing: Ask the demonstrator to record a treatment, deduct its consumables and show the resulting stock report. Confirm which clinical and communication workflows require add-ons or usage credits.

Price and buying terms

Request a US quote for your user count and locations. The official page prices by team size and region, with optional Plus add-ons; a reliable US dollar amount was not available in the page reviewed.

Aesthetic Record

Compare it for: injectable and aesthetic practices prioritizing charting, photos and inventory.

Aesthetic Record documents procedure charting, medical director oversight, photo management, inventory, online booking and patient memberships. Its feature set gives a practice reasons to evaluate it as the clinical and transactional system, rather than as a separate booking calendar.

The pricing page also makes a useful distinction between plans: Accelerator lists connections with platforms including RepeatMD and PatientFi, plus third-party CRMs. If you already use another patient engagement tool, check the named integration and its data flow before budgeting for a replacement.

Check before choosing: Calculate costs for every user. Check storage and messaging allowances, payment fees, optional services and the scope of data migration; the per-user subscription is only part of the decision.

Price and buying terms

Essentials: $15 per user/month. Accelerator: $19 per user/month. Both list a $399 startup and onboarding charge. Enterprise is quoted. Some functions carry additional fees.

AestheticsPro

Compare it for: teams comparing a dedicated medspa suite with published plan prices.

AestheticsPro brings electronic records, scheduling, a patient portal, payments and reporting together. Its AP Photo tools include alignment guides, image markup and side-by-side comparisons. These are relevant when documenting a treatment series consistently matters as much as filling the calendar.

The plan structure changes with team size and integration needs: Executive lists unlimited users and multi-location support, while Enterprise lists custom API solutions. The homepage labels the Kai AI concierge suite as coming soon, so it is not counted here as an available reason to buy.

Check before choosing: Confirm the price of e-prescribing, texting and marketing separately. Ask whether your proposed package includes the photo and record workflow demonstrated, plus the access roles your medical director needs.

Price and buying terms

Pro-Plus: $160/month for two users, with an additional user at $85/month, up to three users. Executive: $285/month. Enterprise: $350/month. Executive and Enterprise list unlimited users; additional-feature fees may apply.

PatientNow

Compare it for: practices wanting clinical records, photos and patient follow-up in one suite.

PatientNow combines scheduling, aesthetic charting, payments, memberships and marketing. Its medspa workflow includes treatment documentation, deposits, packages and follow-up based on visit history. Photography is part of the wider platform through RxPhoto, which is useful to investigate when consultation images and subsequent records need to stay connected.

Standard and Amplify differ in capacity and automation, including advanced lead nurturing and drip campaigns. Compare a real follow-up sequence with the plan proposal, especially if several staff members share responsibility for responding to inquiries.

Check before choosing: Specify the clinical record, photography, communication and AI modules in the quote. Ask how existing photos, open packages and membership balances would move into the proposed configuration.

Zenoti

Compare it for: operators coordinating clinical work, inventory and multiple locations.

Zenoti presents a combined medspa platform covering charting, injectable documentation, patient photos, booking, payments and memberships. Its inventory description specifically includes syringes, peels and IV bags, with usage, expiry and service-level profitability. That detail makes the stock workflow worth examining for practices with several providers or sites.

The platform also markets automated outreach and AI tools. Treat those as separate evaluation items: a broad feature list does not show which actions your team can configure, supervise or reverse in its own setup.

Check before choosing: Demonstrate a stock transfer, a treatment deduction and a cross-location patient visit. Ask which reports aggregate across sites and which permissions remain local. Confirm AI availability and fees in writing.

Podium Aesthetics

Compare it for: practices evaluating inquiry handling alongside an aesthetic practice system.

Podium Aesthetics now presents Aesthetics OS with Avery as a combined offering. The documented scope includes an EMR, scheduling, intake and consent forms, charting, inventory, payments and reporting. Communications bring together phone, text, social messages and website chat, while marketing includes campaigns, reviews, memberships and packages.

This is broader than a review-request or texting tool. Avery is marketed for lead conversion and booking, but the public material does not establish how it will handle your particular booking rules or patient questions.

Jane

Compare it for: smaller or mixed-service clinics wanting configurable documentation and booking.

Jane explicitly serves aesthetic, IV, hydration and mobile clinics. Its documentation tools use customizable templates, body-part diagrams and image uploads. Online booking and a waitlist sit alongside payments, packages and memberships, giving a smaller team a practical set of workflows to investigate.

Plan selection matters. Thrive includes rooms and equipment, automated waitlist management, return-visit reminders, packages and memberships. A clinic that needs those functions should compare Thrive, rather than assuming the lower starting plan covers the same daily work.

Check before choosing: Build your actual treatment note in the demo. If you need injectable lot tracking or detailed consumable deductions, require a demonstration of that workflow rather than inferring it from the EMR label.

Price and buying terms

Balance: $59/month for one practitioner, limited to 20 appointments/month. Practice: $79/month. Thrive: $99/month. Practice and Thrive include one full-time practitioner; additional practitioner charges and optional add-ons can apply.

Booking and daily operations

Boulevard

Compare it for: practices aligning self-booking, checkout and clinical documentation.

Boulevard combines booking, scheduling, patient profiles and payments with a medspa charting suite. The current medical spa page documents digital intake, photo capture and markup, medical director sign-offs and e-prescribing. It should therefore be evaluated beyond its appointment-booking origins.

Memberships and packages support the commercial side of repeat visits. For a busy reception team, the useful comparison is how booking, forms, chart completion and checkout connect during one appointment, including appointments that involve more than one staff member or resource.

Check before choosing: Confirm the medspa package, clinical add-ons and prescriber charges. Use your own booking rules in the demonstration, then check what a receptionist and clinician can each see and change.

Price and buying terms

Request a medspa-specific quote. The public pricing page has business-type and billing selectors; the available text did not reliably establish the selected medspa configuration, so generic spa prices are not substituted here.

Mangomint

Compare it for: teams prioritizing booking, staff calendars and connected patient communication.

Mangomint documents login-free online booking, a cancellation waitlist, embedded forms and charting, two-way texting, memberships and automated follow-up for medspas. Those functions make it relevant when reception spends too much time moving between the calendar and separate communication tools.

Its pricing is unusually easy to model: a location charge plus user charges, with phone, marketing and payroll presented separately. The published medspa page also includes telehealth and good faith exam capabilities; confirm the service arrangement and availability for your practice rather than treating those labels as clinical approval.

Check before choosing: Walk through your chart and photo requirements as well as the booking experience. Check what counts as a user and how marketing credits, phone lines and optional clinical services affect the total.

Price and buying terms

$120 per location/month plus $10 per user/month. Optional phone: $70 per line/month. Marketing starts at $30/month. Payroll is $50/month plus $8 per worker.

Vagaro

Compare it for: practices comparing booking, retail stock and selectable add-ons.

Vagaro brings calendars, online booking, memberships, packages, SOAP notes and inventory into a broad business platform. Its inventory tools cover product details, purchase orders and restock alerts. A marketplace listing adds another way for clients to find and book the business.

Its modular pricing is relevant to a small practice, but the entry subscription should not be mistaken for a complete clinical setup. Forms, photo storage and online shopping are separate items to check when comparing the workflow you actually intend to use.

Check before choosing: Price the required forms, storage, marketing and checkout options together. Demonstrate treatment documentation and inventory units with your own examples; generic retail stock tracking does not establish every injectable workflow.

Price and buying terms

The official US listing shows $30/month for one calendar, with a $23.99/month introductory rate for six months. Additional calendars and add-ons cost extra. Confirm current US eligibility: the site can redirect to regional pricing.

Mindbody

Compare it for: medspas combining appointments with broader wellness services and discovery.

Mindbody combines scheduling, payments, staff management and reporting with booking through its consumer app and other channels. Its medspa page describes recurring appointments, campaigns and an AI concierge that responds to missed calls by text and helps book appointments.

The distinction between plans is important. Ultimate adds automated email and text campaigns and a sales pipeline; the entry plan does not represent the full marketing package. Marketplace discovery also needs a separate cost discussion, because some newly acquired clients can trigger a first-purchase fee.

Check before choosing: Verify the documentation workflow for your treatments separately from scheduling. Ask how marketplace attribution works, which acquisition fees apply, and what happens when an existing patient books through a new channel.

Price and buying terms

Starts at $79/month per location in the US. Higher plans and add-ons cost more. Ask which marketplace acquisition fees apply to your plan and booking channels.

Memberships and patient marketing

Phorest

Compare it for: practices connecting patient retention with daily operations.

Phorest combines appointments and payments with treatment plans, forms, photo markup and patient marketing. The medspa page presents these as connected parts of the same platform. That makes it a candidate for practices that want clinical records and a structured return-visit process together.

The US plans show why the package deserves attention: Starter includes a marketing suite, while Grow adds Reconnect and the loyalty program. Memberships and a branded app appear in the higher package or as add-ons. Compare the specific retention workflow, not the general promise of marketing automation.

RepeatMD

Compare it for: practices adding membership sales and mobile patient commerce.

RepeatMD focuses on a branded patient app for buying treatments, memberships and products, with rewards and member pricing. Its membership tools include selling plans in the app and managing them through a reporting dashboard. This is a different buying decision from replacing your clinical record system.

Evaluate it alongside the software you already use. Aesthetic Record explicitly lists a RepeatMD integration on Accelerator, but a named integration does not explain every field, balance or transaction that moves between systems. Establish which system owns each part of the patient journey.

Check before choosing: Ask how purchases, redemptions, failed renewals, refunds and cancellations reconcile with your practice software. Separate new sales from purchases that would have happened anyway when assessing the business case.

Check integrations, data access and the exit plan

A listed integration, an API and a complete data export are different capabilities. Aesthetic Record names third-party integrations on its Accelerator plan, while AestheticsPro lists custom API solutions on Enterprise. Neither statement proves that your proposed connection will synchronize every appointment, image, package balance or payment. These connections were not tested for this comparison.

Ask both vendors to identify the data exchanged, the direction of the connection, how often it updates and who handles an error. For migration and future export, request a sample containing notes, original photos, signed forms, patient identifiers and outstanding balances. Establish the format, cost and delivery time before signing. A spreadsheet of contact details is not equivalent to a complete clinical archive.

Use one appointment to test the whole system

A useful demo follows one fictional patient through your normal workflow. Give every vendor the same scenario so the comparison stays meaningful: inquiry, booking, deposit, forms, consultation photos, treatment documentation, consumables, checkout and follow-up. Include an exception such as a reschedule or partial refund. Watch what your staff must enter twice and which steps require another product.

  1. Have reception change the appointment while preserving the room, provider and deposit rules.
  2. Have the clinician complete the record and route it for the required review.
  3. Redeem part of a package and show the remaining balance to the patient.
  4. Reconcile the payment and stock movement, then export the relevant records.

Use that walkthrough to choose between the final candidates. The right system is the one whose documented capabilities, demonstrated workflow and written cost match your practice. A long feature list or a polished AI conversation cannot settle that decision on its own.

How this comparison was researched

We reviewed official product and pricing pages on October 29, 2026. This is a documented feature comparison, not a ranking based on hands-on testing. We did not use paid accounts, process patient records, audit compliance or test APIs, integrations or MCP connections. Product images are supplied by the vendors. Fit recommendations are our interpretation of documented capabilities; questions below identify what your team still needs to verify. Prices are USD where stated, with billing units and material conditions preserved.

This is a selection of relevant products, not an exhaustive market directory. “Best” means a fit for a defined workflow. Product names, capabilities and prices can change; the linked official sources let you check the current offer.
